INHS Photography / Audio / Video Policy

Idaho Natural Hot Springs Group (INHS) understands that photography and video art are integral to both self expression and making memories. Like many, we love enjoying the moment, as well as capturing those epic journeys to enjoy later! Therefore, it is important to our leadership and members  to have a photography, audio and video policy and to point out that, as a participant in an INHS event, it is likely that you may be photographed.

In order to promote a safe environment with maximum fun and minimum worry, the INHS has adopted the following policy:

INHS Photography / Audio / Video Policy

For the safety and convenience of our members, only photographers authorized by INHS are permitted to photograph attendees. Every person attending an INHS event must sign the INHS Photography/Videography Participant Waiver. All authorized organizers and event hosts are listed on our website. This policy covers photographs or videos that feature event attendees captured during INHS events. The policy does not cover videography or photography that does not include attendees in photos or videos (i.e. landscapes).

INHS utilizes a waiver to assist organizers in obtaining consent from participants whenever capturing and/or publishing photographs or videos taken at an event.  In addition, the following details apply, as adapted from the waiver:

Event participants shall not photograph, video or audio record anyone without their express written permission. Express permission is inherently granted to INHS leadership, event organizers and hosts by an attendee’s signed waiver.

Attendees at INHS events who do not wish to be photographed have the responsibility to move out of camera view upon notice that a photo or video is about to be taken.

INHS expects that participants will abide by this policy and only use their own mobile phones/cameras to capture non-participant photos. Only INHS designated photographer(s) will capture photos of participants on group outings. INHS reserves the right to temporarily remove phones/cameras that are deemed to be used inappropriately and delete any and all photos showing event participants photos.

INHS Leadership will make photos/videos available to subject participants for their personal usage.

Usage of Media

The INHS Executive Oversight Team, or the INHS Planning Committee, may choose to publish photographs and recordings taken by INHS photographers and reserves the right to use those photographs and recordings in promotional materials to promote INHS.

No use of images, film, or video obtained at the event may be made without prior written permission from INHS and the written permission of any persons identifiable in the images, film or video, other than for personal use.

Additionally, the event holders, producers, sponsors, organizers and/or assigns may not use any images, film, or video obtained at the event without prior written permission of any persons identifiable in the images, film or video.

If there is a violation of this policy, INHS leadership, organizers or hosts may request that the photograph be removed from any sites where it was posted and deleted from the devices. In the event that this request is ignored or further violations occur, the participants violating this policy may be sanctioned and/or expelled from the event without a refund  and/or banned from future INHS events.

“Personal use” of images, film or video means to share with friends and family, to display on personal websites (as long as your website does not sell any other product or service, and as long as your website does not purport or appear to be an official website of INHS, to display on photo sharing websites, and to display at art exhibits or similar exhibits. Social networking sites such as Flickr, Instagram and Facebook are deemed “personal use” only if the display of the images, film or video on these sites are not used for the promotion or distribution of images with the intent to publicly display them beyond one’s immediate network of friends and family members.

INHS allows joint ownership in the copyright for images obtained at the event by officially-sanctioned photographers so that in the event any third party displays or disseminates any images in a manner not authorized by this policy, INHS can enforce against the third party any restrictions concerning use of the images, and participants appoint INHS as their attorney-in-fact to execute any documents necessary to effectuate such assignment. INHS agrees that it will not utilize this joint ownership to enter into any licensing agreements for the images. 

This policy applies to all attendees of INHS events, including INHS leadership who are designated as official photographers and audio and video recorders.
